We are looking for a professional and proactive German Speaker Office Manager to be the welcoming face of our organization while supporting the smooth operation of our office environment and internal events. This hybrid role requires excellent organizational skills, attention to detail, and a customer-focused mindset

Which brings us to you, the person with:

  • Previous experience in a receptionist, office coordinator, or administrative role.
  • Strong communication and interpersonal skills.
  • Ability to multitask and manage priorities in a dynamic environment.
  • Proficiency in Microsoft Office and basic office systems.
  • High level of discretion and professionalism.
  • Preferred Skills:
  • Experience in facilities or event coordination.
  • Familiarity with workplace management tools (e.g., room booking systems, ticketing platforms).
  • Creative mindset and enthusiasm for employee experience.
  • Fluency in English and German (spoken and written).

What we expect from you:

Facilities Support

  • Greet visitors, clients, and employees with professionalism and warmth.
  • Manage incoming calls, emails, and deliveries.
  • Maintain a tidy and welcoming reception area.
  • Provide general administrative support to various departments.
  • Coordinate office maintenance requests and liaise with vendors.
  • Monitor and restock office supplies and consumables.
  • Assist with space planning and desk allocations.
  • Support health & safety compliance and emergency procedures.

Event Coordination

  • Assist in planning and executing internal events (e.g., town halls, team-building activities, seasonal celebrations).
  • Coordinate logistics such as catering, room bookings, equipment setup, and guest lists.
  • Collaborate with HR and Communications teams to promote events and gather feedback.
  • Maintain an events calendar and budget tracking.
